Exhibitor Manual
The ACEM WA 2025 Scientific Conference Working Group would like to thank you for supporting and participating in the 2025 conference.

Exhibitors should take the time to read this manual as it provides information and resources for your exhibition stand. Please ensure that you understand all the contact details, deadlines, and exhibitor information. 


Event Registration

Each exhibitor registration includes:
  • Website acknowledgement & hyperlink
  • 1 x Full conference delegate registration
  • 2 x Exhibitor registrations
  • 2 x Social tickets

Exhibitors will have one (1) two seater table.  
Exhibitors may erect one (1) standing banner (supplied by the exhibitor) behind your table. 

If you require more passes, please email us (details below). Additional exhibition passes will incur a fee. 


Name Badges 

Name badges will be supplied to you by the ACEM Event Team during bump-in time. Name badges should be always worn during the conference. 


Internet Access

Casual wireless internet is available at no cost to all visitors and is designed for web browsing and checking web-based email. 
The venue will provide you with connectivity instructions upon arrival.


Venue Access & Parking

Access:
Exhibitors can use the loading dock to offload items and then find parking. Please head to hotel reception to check in. They will give you access and guide you to the loading dock. 
Most of the parking at the front of the hotel is reserved as loading bays.

Car park details:
Parking is unavailable onsite at the hotel. Self-parking is available at the CPP car park located at 165 Terrace Road, Perth. 
Exhibitors can collect an entry parking ticket at the car park gate, and the reception will validate the ticket which is payable at the CPP car park.

Please note that you should pre-pay for ticket before your first exit at the undercover pay station:
  • Press Green PRE-PAY button, insert ticket, & pay discounted rate.
  • Insert Pre-Paid ticket at boom gate to exit & enter car park.
  • Multiple Entry & Exits Permitted


Delivery of Goods

Items can be dropped off via the loading dock at the venue. 

Alternatively, items can be arranged for delivery to the venue up to 3 days prior to the conference.

Please also notify the ACEM Event Coordinator (details below) if you plan on having items couriered to the venue and we will send you the delivery label. There is a limited amount of storage available, and this will be offered on a first come first serve basis. 


Bump-in and Bump-out

Bump-in is available on Saturday 03 May 2025 from 7.00am. 
ACEM Event staff will supply you with your name badges/registration pack prior to 8.00am.

Please see Exhibition Floor Area Map (below) for more details on closest lifts and entrances. Please ensure you have noted setup times and have completed your setup by 8.00am on Saturday morning.
Any items that were couriered will be portered to the function room at 7.00am. 

Bump-out will take place after the afternoon tea break at 3.50pm. Please check you have all your belongings and that all items to be collected have been pre-arranged. No rubbish or packaging is to be left behind.

The exhibition will be in the Foyer outside W1, W2 & W3. 


Safety procedure

In an unlikely event of an emergency you will hear an alarm. 
The first alarm is a precaution. We ask that you remain seated during this time. 

If there is a need to evacuate, there will be a second alarm along with evacuation instructions from hotel management.  

During an evacuation, please do not under any circumstances use the lift. The venue staff will guide you to the closest fire exit and walk you down the stairs to exit the hotel through the main entry. 

Please head to the muster point, where venue staff will complete a name check. The muster point is the grass area outside the hotel.  
Please note smoking is not permitted in all areas of the hotel.

Important Information

The following rules and regulations become part of the contract between the exhibitor and the Conference. The rules have been formulated in the best interests if the exhibitors, and the organisers respectfully ask for the exhibitor’s cooperation in observing these rules. Any areas not covered in the Rules and Regulations are subject to the Venue Organiser’s final determination.


Security and Liability
Neither the ACEM 2025 Organising Committee nor Double Tree by Hilton will be responsible for any loss, damage or injury to the company’s representatives or property from any cause prior to, during and after the Exhibition.

Each company/organisation is responsible for maintaining insurance cover against injury to a person, damage, or loss of property in such amounts as the company or organisation deem appropriate.
Please provide a copy of your Liability Insurance Certificate to the email address of the ACEM Event Coordinator named below by Thursday 24 April 2025.

Storage
Storage onsite is limited. Exhibitors must make provisions for safeguarding their goods, materials, equipment and displays at all times. The protection of your property is your responsibility.

Cleaning & Damages
At the commencement of tenancy, the centre will provide a clean space.
During an event venue staff will clean and maintain the contracted spaces and common areas as part of the daily room rental charges.

For exhibitions, exhibitors are responsible for keeping their exhibition stand or space clean and tidy.
Additional cleaning charges may be incurred where an event or attendee has created cleaning requirements considered in the reasonable opinion of Double Tree to be over and above normal cleaning.

Any damages that occur to the venue may incur damage and cleaning fees as deemed by the venue.
Should any damages occur to the venue including that of; excessive glass breakage, carpet damage (spilling of drinks, vomiting etc.) and / or furniture & equipment damage, cleaning and damages fees will apply.

Electrical
All exhibitor stands will have at least one power outlet available to them. 
Should you require any other connectivity or AV- please contact the ACEM events team (details below). 

The venue management reserves the right to request removal from the site of any electrical equipment it deems to be non-compliant or suspect and can call upon internal specialists to assist when necessary. 

All portable electrical equipment, appliances and leads used on site must be tested and tagged in accordance with Australian Standard 3760 and WH&S Act 2011. 

Any electrical equipment found not tested will have to be tested immediately or removed from the Centre. For safety reasons, double adaptors are not to be used in the Centre.
